DENIAL MANAGEMENT SOFTWARE

Denial Software That Drafts, Files, and Follows Up

A worklist tells you which claims were denied. You already know. The question is who fixes them. DenialZero drafts the appeal, tracks the deadline, files it, and follows up, then puts the result on the record.

The gap in most denial management software

Buy a denial module and you get a cleaner version of a problem you already have. It reads the remittance, sorts denials into buckets, and shows them on a tidy dashboard. Useful, as far as it goes. It just stops at the exact point the work begins. Somebody on your team still has to read each denial, decide whether it is a corrected claim or an appeal, write the thing, file it in the right place, and circle back before the payer's clock runs out.

That last mile is where revenue is won or lost, and it is the part software has mostly left to people. The result is predictable: the big denials get worked, the small ones get written off, and the deadlines on the messy ones quietly expire. DenialZero was built to close that mile. It is the same category of tool, pointed at the part that actually moves money.

WHAT IT DOES

One System, the Whole Denial Lifecycle

Remittance ingestion

Native X12 835 parsing with line-level detail, by SFTP pull or manual upload. It also reads payer EOB PDFs and pulls every claim off the page, not just the first.

Root-cause triage

Each denial resolves to a known cause from CARC and RARC codes plus claim context, against payer playbooks and NCCI bundling logic.

Drafting

The corrected claim with line-level fixes, or the appeal letter with cited evidence on your letterhead, ready for a one-click approval.

Deadline engine

The filing window for each payer and claim type is computed in code. A claim drifting toward its deadline becomes an urgent alert before it is too late.

Submission and follow-up

It files through the right channel, keeps delivery proof, and sets its own follow-up cadence based on how fast each payer actually responds.

Audit trail

Every read, decision, draft, and submission is on an immutable record with the reasoning attached. One click answers what happened to any claim.

Reporting that earns trust

Win rates and response times by payer, reviewer-agreement rates, and recovered dollars, all measured rather than asserted.

Security built in

BAA included, PHI encrypted and hashed before any model sees it, role-based access, every event logged.

Prevention, too

The Guard scrubber catches bundling and coding errors before the claim goes out, so fewer denials come back at all.

Worklist Software vs DenialZero

Same starting data. The difference is how far the software carries the work.

CapabilityTypical worklistDenialZero
Parses 835/ERA and groups by denial code
Dashboards and aging reports
Identifies the root cause per claimpartial
Drafts the corrected claim or appeal letter
Computes and protects the payer filing deadlinepartial
Submits the work through the right channel
Follows up with the payer on its own schedule
Immutable audit trail of every actionpartial
Priced on resolved denials, not seats

Not sure whether you want software or a service?

The engine is the same. You can run DenialZero yourself, or hand the queue to our AR team and treat it as a managed service. Most practices start hands-on and dial it up as the agreement rate climbs.

BEFORE YOU BUY

Eight Questions for Any Denial Software Vendor

Print this. Ask every vendor the same list. The answers separate a worklist from a system that recovers money.

  1. 1Does it draft the appeal and corrected claim, or only tell my biller to?
  2. 2Who computes the filing deadline, and what happens when one is about to lapse?
  3. 3Does it submit the work, or hand it back for me to file by hand?
  4. 4Does it follow up with the payer on its own, or rely on a person remembering?
  5. 5Can I see every action it took on a claim, with the reasoning, in one place?
  6. 6How are decisions kept consistent between two identical denials?
  7. 7Am I paying per seat regardless of results, or on denials actually resolved?
  8. 8How fast is go-live, and does it touch my EHR or PM system?

FAQ

Buyer Questions

What does denial management software do?+

At minimum it ingests payer remittances (the 835 ERA), groups denied claims by reason code, and gives billers a queue to work. The capable systems go further and produce the corrected claim or appeal, track each payer's filing deadline, submit the work, and follow up until the claim resolves. DenialZero sits at that second end.

How is DenialZero different from worklist tools like the ones built into our PM system?+

A worklist sorts the problem and stops. Your biller still reads the codes, picks the path, writes the appeal, files it, and remembers to chase the payer. DenialZero does those steps itself and routes the work product to a human for approval. The denial gets worked, not just categorized.

Do we need to replace our practice management or EHR system?+

No. DenialZero runs alongside whatever you use. If your clearinghouse can deliver an 835 file or you can export one, the software can work your denials. There is no rip-and-replace and no EHR integration project.

How long is implementation?+

Legacy denial software quotes a multi-week or multi-month rollout. Here you sign up, sign the BAA, and connect or upload a remittance the same day. The agent starts working denials within the hour.

What does it cost compared to traditional software?+

Legacy denial software usually charges a per-seat license plus an implementation fee, whether or not it recovers anything. DenialZero charges a flat fee per resolved denial. You pay on outcomes, which is what finally makes small denials worth working. Full numbers are on the pricing page.

Is it secure and HIPAA compliant?+

Yes. A BAA is included, PHI is encrypted in transit and at rest, member identifiers are hashed before any model processes claim data, and every action is logged to an immutable audit trail. Details are on the HIPAA and security page.
